Our lawful bases for the collection and use of your data
Our lawful bases for collecting or using personal information to provide services and goods are:
- Contract — we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
- Legitimate interests — we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability.
Our legitimate interests are: we use the contact details and message content that people send us so we can read, understand and respond to their enquiries about our services. This benefits the person, as it allows us to answer their question or request, and benefits us, as it allows us to deal with potential and existing client relationships efficiently. The information involved is limited to the contact details and message content a person chooses to send us, and we only use it to respond to and manage their enquiry. We do not use it for marketing or share it for unrelated purposes. The impact on the individual is minimal because the processing is what they would reasonably expect when contacting a business, and they remain in control of what information they send. We therefore consider that our interest in responding to and managing enquiries does not override the rights and interests of the people involved.

How long we keep information
We keep personal information only for as long as we need it. Financial and transaction records (such as invoices) are kept for at least 6 years from the end of the relevant accounting period to meet our tax and accounting obligations, and may be kept longer where needed for our business records. General enquiries that do not lead to a working relationship are deleted once there is no longer a reason to keep them. Where we work with a client, we keep correspondence and project records for the duration of the engagement and for 6 years afterwards.

Sharing information outside the UK
Some of the providers we use may store or process personal information outside the UK.
